2. Information We Collect

We collect information through our CRM provider, Wellyx, when you register for classes, book trials, or purchase memberships. This includes:

  • Contact Details: Name, address, email, and phone number.
  • Emergency Contact: Name and number of a person to contact in an emergency.
  • Health Information: Any medical conditions or allergies we need to be aware of for safety on the mats (this is “Special Category Data”).
  • Payment Data: Handled securely via Wellyx/Stripe; we do not store full credit card details.
  • Attendance & Progress: Records of classes attended and belt gradings.
  • Media: Photos or videos from classes/events (only with your explicit consent).

3. Why We Need Your Data (Lawful Basis)

Under UK GDPR, we process your data based on:

  • Contract: To manage your membership, class bookings, and grading records.
  • Legal Obligation: To comply with health and safety or safeguarding regulations.
  • Legitimate Interests: To send you club updates and manage class schedules.
  • Consent: For marketing emails or using your photo on social media.

4. How We Use Wellyx

We use Wellyx as our third-party “Data Processor” to manage our club operations. Wellyx stores your data securely and allows us to:

  • Automate your class check-ins and payments.
  • Send you SMS or email notifications about class changes.
  • Maintain accurate records for insurance and grading purposes.

5. Data Sharing

We do not sell your data. We only share it with:

  • Wellyx: Our CRM provider.
  • Governing Bodies: (e.g., Irish Taekwon-Do Association) for official grading and insurance.
  • Authorities: Only if required by law (e.g., for safeguarding or tax purposes).

6. Data Retention

We keep your information for as long as you are an active member. If you leave the club, we generally retain your records for 2 years to comply with insurance requirements and then securely delete it.

7. Your Rights

Under NI law, you have the right to:

  1. Access: Request a copy of the data we hold about you.
  2. Correction: Ask us to fix inaccurate information.
  3. Erasure: Ask us to delete your data (the “right to be forgotten”).
  4. Withdraw Consent: Stop receiving marketing at any time.
